The Role & Purpose Customer Service Representatives play an integral role in the functioning of Kyte Powertech and in the building of our strong relationships with customers at our core. Customer Services are the voice of the company to the customer and of the customer to the company. They form part of the dynamic Contracts Management, interacting with Customer, Sales, Planning and Production. It is a highly administrative role requiring extensive communication. Responsibilities: - To liaise with customers and build strong customer relations. - To assemble and provide customers with specifications, drawings and technical details. - To get customer approval and sign off of specs and drawings prior to scheduling (as necessary). - To co-ordinate with other departments including design, planning & production to effect contractual obligations. - Order entry, ascertaining dates from planning, adding sales order in SAP with dates and confirming to the customer. - Creating status reports and orderly workflow on projects - Facilitating change requests to ensure that all parties are informed of the impacts on schedule and cost. - To provide information on orders to production and accounts departments. - To update prices quarterly or as required by agreed contracts, get approved by CEO and communicate to customer/relevant sales rep. - To ensure orders received are as per the terms of contract when applicable. - To coordinate the supply of spare parts to customers. - To identify problems with Customer orders and elevate if necessary to Contracts Manager. - Reporting on Customer KPI’s to improve customer experience - To organize customer on-site visits as and when required. - To follow up on overdue accounts. - To provide advice and support to other departments as and when required. Essential - Business Commercial or Manufacturing or related Cert/Diploma. - Relationship management. - Working with MS Office - Customer service/ facing role - Professional outlook - Personable. - Prepared to take responsibility and ownership of the role. - Courteous. - Organised and focused - Clear and careful communicator both verbally and in writing - Ability to build real relationships. - Strong administration and organisational skills. - Strong attention to detail - Ability to travel (approx twice per year) Desirable but not Essential - Business or related Degree - SAP - Salesforce - Customer relations preferable in the Electrical Industry. - Manufacturing/Project managed environment
